FINAL PAYMENT: Required in our office 45 days prior to departure. Vacations booked inside 45 days require a credit card number to guarantee full payment at the time of booking, which is fully refundable if the reservation cannot be confirmed. We accept Visa, MasterCard, American Express, Diners Card and Travel Agency cheques.

GENERAL CANCELLATION POLICY:
Outside 45 days – no penalty applies
- 45 to 36 days – deposit $200 per person forfeited
- 35 to 26 days – 50% of the total value forfeited
- 25 to 6 days – 75% of the total value forfeited
- 5 days or less – 100% of the total value forfeited
OTHER CANCELLATION CHARGES:
Calgary Stampede: Outside 45 days no charge. Within 45 days 100% non-refundable
Rocky Mountaineer: Within 45 days 100% non-refundable
Whistler Ski Vacations and Hotels: Within 45 days select Whistler vacations are 100% non-refundable.

CHANGES TO RESERVATION: Changes which result in a reduction of service and/or changes within 45 days, a charge of $50 CDN / USD per booking will be applied. If the change results in a cancellation of any services and charges are incurred by Canada à la Carte Vacations, these charges will be applied to the file. Charges will also be applied for lost/re-sent documents and air/train ticket date/name changes.
CHILDREN’S RATES: Available for children 2-11 inclusive. Children under the age of 2 travel free when sharing a seat with a paying adult.
PERSONALIZED VACATIONS: We are pleased to customize your independent vacation. A modest surcharge will apply to cover administration and planning charges.
INSURANCE: We strongly recommend that you purchase trip Interruption Insurance to protect your vacation investment. Ask for details at time of booking, The premium is due at the time of deposit and is non-refundable.
TRAVEL DOCUMENTS: All clients traveling on a Canada à la Carte vacation will recieve a detailed documentation package (one per room) complete with a personalized itinerary with driving or travel instructions, vouchers, maps, brochures and guides of the regions. Complete documents are couriered out approximately 3 weeks prior to the tour start date.
USA & INTERNATIONAL VISITORS: Please be advised that when you are entering Canada you will be passing through Customs either at the border or at any airport. Canada à la Carte recommends you carry your passport with you at all times. The following information may be requested: country of residence, first-night address in country, passport country of issuance and expiry date. Contact your local Customs office for more information. Canada à la Carte will not be responsible for refused passage into Canada by any government service.
MEALS: The EuroPlan (EP) indicates meals are not included unless specified.
TRAIN TRAVEL: All passengers are required to pack an overnight bag for VIA Rail Canadian or Rocky Mountaineer RedLeaf service (no access to checked baggage).
CAR RENTAL PACKAGES: Package prices are quoted per person and include a mid-size car. All costs not included in package are the responsibility of the renter and are payable to the car company at the time of car drop off. Rates do not include: gas; Loss/Damage Waiver (LDW); Insurance (PAI); BC car taxes; other drivers; National Park Entrance (exception self-drive programs); hotel parking; airport taxes; concessions; one way drop fees; miscellaneous fees. All renters must be 25 years of age and possess a valid driver’s license & credit card. Most vehicles have unlimited kilometers (exceptions apply), extra kilometers vary between $0.25 – $0.35 per KM.
ACCOMMODATION: Accommodation is run of the house, standard room with bath (unless specified). All room assignments are made by the hotel Management, and Canada à la Carte has no control over which room our clients will receive. If the requested hotel is unavailable, we reserve the right to substitute hotel accommodation of a similar or higher grade. Please note that some of the Deluxe and Moderate hotels are heritage properties that possess historical elegance, and may not reflect current North American Deluxe or Moderate hotel standards. All triple or quad rooms are on a bed-share basis. Special requests (i.e. non-smoking or king bedding) are considered as requests only. Canada à la Carte will not cover any incidental charges incurred by the guest at their hotel (i.e. room service, room upgrade etc). Upon check-in guests will be expected to leave a credit card number to cover potential incidentals.
